Backups

The first and most effective method of protecting your data is something that you the user can do for yourself, regular backups.  You should have a copy of your data stored somewhere other than your computer.  That might be on a floppy disk, a CD, a Zip disk, or on another computer.  How often you need to back up depends on how critical your information is, how much does it change each day, and other factors.  If you have made significant changes, you should prepare a fresh back up.

On your computer, the data is stored on your hard drive.  All hard drives are mechanical devices which have a definitive life.  That means that all hard drives will fail.  Let me tell you, it is a terrible feeling to turn on your machine and get that fateful message, "No Hard Drive Found". Once the drive has failed, the data is gone.  If you have done a good job of backing your data up, the inconvenience in only minor.  However, if you didn't back it up, the information is now gone.  While there are companies which specialize in retrieving data from failed hard drives, the process is very expensive and would rarely be used by the average person or business.

The  back ups should also be stored away from the computer.  There is always the chance that some disaster could occur (a fire, flood, earthquake, or other catastrophe).  You should have your backups where they will survive if the computer doesn't.  Then you can reload the information onto another machine and continue on.

Automatic Off Site Backups

For important data which changes often (i.e. billing information, sales records, etc.), you may want to consider a service which will back up your data automatically to a remote server.  This is done over the internet and can be accomplished with either dedicated or dial up access.  The process allows you the full protection of remote storage along with the assurance that the backups will take place (it is easy to forget this task).  Your files are accessible to you should you need them at any time, and they are secure because they are encrypted at your machine and sent over the Internet and stored in an encrypted format.  You have the password which is required to restore the files to a readable format.
